Install Checklist
A clear install checklist for South African event setups, written for crews and brand teams who know the drill.
How Install Checklist works during setup week
Install Checklist is for event setups where the basics still need to be checked properly. Use it to track banners, tables, branded items, power needs and placement before the venue fills up.
List the venue, access window, and crew lead before anything else. An install checklist for a Sandton ballroom does not read like one for a school field day or a Durban expo stand. Include every branded piece that must be on site, from pull up banners and fitted tablecloths to extension leads, tape, cable ties and giveaway cartons.
Site photos matter because they show door widths, loading bays and awkward corners near the stand. Add one printed copy to the kit or keep it with the setup brief so the team can tick off placement, power points and missing hardware before guests arrive.
Checks before doors open
The checklist should record what was packed, what was installed, and what still needs attention once the venue opens access. That includes banner bases, table positions, power supply, branded stock counts and any damaged items spotted during unloading. A short, readable sheet beats a long document nobody uses during setup.
Match Install Checklist with the related event record and any notes from the last setup that went wrong. Mark final counts for banners, tables, promo items and chargers before boxes leave for site. Promo kit orders need the item list, head count and the event venue so packs are made up correctly.
- Venue access and unloading checked first
- Power, placement and stock verified on site
SA setup conditions to note
Event installs around Gauteng, Cape Town and Durban often involve security desks, strict loading times and venue forms that must be signed off on arrival. Add parking details, lift access and the name of the person holding the stand position. That helps the crew move faster when the hall is busy and the branding still needs to go up.
Coastal air can affect board stock, adhesive products and packed garments if they sit in transit too long. In Johannesburg, dust and dry weather can show quickly on dark table covers and acrylic display pieces. Load-shedding also needs a line on the checklist when lights, charging units or demo devices form part of the setup.

What to include in briefing
Brief the install checklist with site photos, access times, and the branding items that failed on the previous job. Keep the subject line simple.
Note the access time, venue contact, parking instructions and the items that failed on the previous job. Add quantities for each branded element, plus who is bringing tools, spare clips and extension cords. When procurement asks what went out to site, the checklist gives a clean record.
